Job Title: Senior Facilities Specialist | POSITION SUMMARY: Collects and analyzes information used to plan and schedule construction projects. Generates forecasts, variance reports, and other documentation used to monitor and manage projects. Researches and reports on economic, legal, and other factors that may impact project success. Evaluates current procedures and recommends changes to improve the efficiency of planning and scheduling of projects and the reduction of issues due to scheduling errors. May participate in budget planning process for the project. Experienced with standard planning and scheduling methodologies and tools. Prepares plans and schedules for medium size and non- routine projects. Develops work-arounds and solutions to problems. Leads and advises Janitorial Services activities, resources, staffing, and general operations. Position is responsible for generating, prioritizing, planning, scheduling and follow-up for all planned (Preventive Maintenance, Predictive Maintenance and corrective) work. Plans building or refurbishment projects focused on effectively utilizing spaces and resources to support the organizations physical facility and space needs. Prepares designs for review to include, layout plans, specifications, and standards that comply with building regulations, industry best practices, and organizational requirements. Estimates costs for labor, materials, and services. Generates, monitors, and updates project plans and timelines with task details, deliverables, and status updates. Coordinates construction and installation processes and expedites delivery of materials required by projects. Essential Job Functions - Assists Facilities leadership with the implementation of companywide projects, incident response interventions and communications.
- Leads and advises Janitorial Services activities, resources, staffing, and general operations.
- Serves as principle contact and liaison between the maintenance department and production and production support (schedulers/management) to help ensure the department’s customers receive professional maintenance service in a timely manner.
- Responsible for ensuring the work order request process functions effectively; e.g., work scope is clearly identified with realistic completion dates assigned, appropriate resources are assigned, proper authorizations are in place, etc.
- Responsible for tracking and monitoring current and backlog work orders to ensure work projects are completed in accordance with the approved work order plan.
- Responsible for active engagement, communication and follow-up with departments customers and vendors to ensure approved projects begin/complete on time, work priorities reflect customer needs, solicit feedback on how Facilities can improve service and add value
- Responsible for ensuring the Enterprise Asset Management (EAM) system is updated daily or as needed to reflect completed work orders along with any improvement comments associated with the work order
- Responsible for maintaining agreed upon departmental metrics related to the performance of planning and scheduling functions, providing reports to Facilities leadership as needed or requested.
Maintain current knowledge of Federal, State and Local regulations related to facilities projects Assist environmental, health, and safety team in additional duties as assigned. - Performs other duties as assigned

Minimum Position Qualifications | To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education and Experience High school diploma and 10 years previous relevant experience in related facilities planning and scheduling work process and flow; or equivalent combination of education and experience is required. Experience in a manufacturing maintenance environment is preferred. Must have the ability to develop project-specific plans to meet defined business objectives and create project schedules. Working knowledge of building codes, OSHA and EPA requirements pertaining to a manufacturing or industrial facility is desired. Strong oral and written communication skills. Ability to perform math calculations, measurement, analysis or reporting as directed. Experience with MS Office suite, particular emphasis on Word and Excel capabilities is required. Knowledge/use of project planning software is preferred. Intermediate/advanced computer skills, including proficiency in MS Word, Excel, and PowerPoint. Ability to work scheduled shift and hours, including overtime Ability to work with minimal supervision |
